Administration

  • Flexibility for Multi-File Display: If you have multiple versions of natives and images in the database, you can now choose to set a specific, static name for the native, image, and text tabs that display in Document View.

New Options

  • Limit the Number of Records Produced: You can now choose to cap the number of records that are produced through the Record Limit option. This can be used for productions and productions initiated through Mass Actions.

  • Text Tab Visibility: When you have many image and native tabs in Document View, the Text tab will always be displayed. Any additional image and native tabs will still be found by expanding the Additional Tabs arrow.
  • Text Tab Selections Retained: Text tab settings, such as Font Size, Hide Field Labels, and Hide Empty Fields are now retained when you move between views in XERA. Additionally, these settings are also remembered for the next time you open the database.

  • Multi-Folder Search Shortcut on a Mac: Resolved an issue where the Command key would not allow the selection of multiple folders for a search.
  • File Handling Production Error Issue: Resolved an issue where a file handling production error would not display in the Logs tile. Additionally, this error is now logged in the Production Log.
  • Printing a File to PDF Issue: Resolved an issue where printing a file of high-quality TIFF images to PDF format could result in a timeout error.
  • Download to PDF Size Issue: Resolved an issue where an image downloaded to PDF format from the Annotation Mode tab could result in PDF dimensions that were larger than expected.
  • PDF Production Size Issue: Resolved an issue where 24-bit PDFs produced with Annotations, Not Searchable option could result in dimensions that were larger than expected.
  • OCR Time Out Issue: If a production includes OCR, and the OCR process times out, you now receive notification and an OCR_Error.txt file in the package. This is to resolve an OCR time out issue that could cause the production to stop.
  • Expanded Page Input on the Image Tab: You can now easily view up to 5 digits in the page entry box on the Image tab.
  • Starting/Ending Group Numbering Issue in Delimited File: Resolved an issue that could result in incomplete Starting or Ending group numbers for some produced documents.

  • Faster Productions with Hybrid Productions: You can now produce annotated images and native files with one production.
  • Generate OCR: Streamline your workflow by generating OCR from an image field - either together with other production requirements, or as a separate process.
  • Better File Organization for Produced Files: The image, native, text, and delimited files you produce are now packaged into distinct folders so that you can easily retrieve them.
  • JPG Compression Available for TIFF-Based Productions: You can now choose to use JPG compression for TIFF production generation.
  • Extend Margins for Endorsed Productions: For productions that contain a large headers and footers, you can now extend the margins of the image to accommodate those headers and footers.
  • Relative Paths for Exported Data Retained: When producing data, the relative path to the files is now included in the logfile.dat file.
  • Better Tracking of Production Progress: Productions and their packages are now listed together, which now provides a better update on packaging status.
  • Extract Document Group Relationship Information: You can now choose to export parent-child ID information when exporting data to delimited format.
  • Field Identification for Produced Slip Sheets and Native Files: When you create a production, you can now choose to include field headers for slip sheets for image productions and placeholders for native file productions.

General Features

  • Simplified Selections when Creating Clusters: You can now choose to use a simple slider when creating clusters in a database, allowing you to easily determine whether more or less clusters are created.
  • Search for Updated Annotations (Syntax): You can now search to find annotations that were updated by a specific user, using the {annotation_updated_by} syntax.
  • Combine Searches on the Saved Searches Tab: You can now run combined searches directly from the Saved Searches tab.
  • Default Folders and Cleared Coding Selections: If you set up a default folder in a group (radio button selections), then a coding selection can be cleared - and reverted to the default selection for that group, providing clearer identification of coding decisions.

Administration

  • One Production Target for your System: You can now define one production target for your XERA system, rather than adding a production target for each new database.
  • Incorporate Time Zone Offset Fields: In XERA, you can now put your time zone offset field to use so that time zone differences are accurately captured for productions and native file display.
  • Automatically Clear Parent Folder when Child Folder Selections are Cleared: When you create a folder, you can now choose an option that will automatically clear a parent folder selection if all immediate child selections are also cleared.

Manager

  • Create Distinct Native File Locations for Every Database:To better organize your files, you can now choose to create a unique native file cache path for every database, or simply for specific databases in your XERA system.

  • Data Servers Sorted Alphabetically: The list of data servers, shown when creating a database template, are now listed in alphabetic order. The same sorting applies where the data servers are listed in Manager.
  • One Click to Database Template: You can now set a template with one click of a button in the Databases tile - the Set as a Template button has been added to the screen. The Settings button now applies to field identification for the database.

Manager

  • PDF Download Spikes CPU Usage: Resolved an issue where attempting to generate a PDF of a large native file might cause high CPU usage.
  • Native File Rotation Issue: Resolved an orientation issue that could result in a native file rotating in the opposite direction the rotate icon indicated.
  • Media File Unable to Play: Resolved an issue where media files would not play if the Native File Download administration option was disabled.
  • Freeze after Logging In (Oracle only): Resolved an issue with excessive unreleased Oracle connections that could result in the inability to create a new connection and freeze the database after logging in.
  • Post Processing Error in a Predictive Review Project: The 'None' document group option has been removed from the Predictive Review setup, as well as the Batch Manager and Reports Manager. This is to resolve an issue where selecting the document group option in a Predictive Review project - but leaving it as None - could result in a processing error.
  • Soft Check Issue in Predictive Review Panel: Changes have been made to Predictive Review folder setup so that 'Automatically check when child is coded' is no longer an option for conflict folders. This resolves an issue that could result in soft checks reverting to hard checks.
  • Header and Footer Cut off when Printed:Resolved an issue that could result in cut off header/footer information when the production was printed.
  • Download to PDF Size Issue: Resolved an issue where an image downloaded to PDF format from the Annotation Mode tab could result in PDF dimensions that were larger than expected.

Administration

  • Folder Group Issue when Moving an Object: Resolved an issue that could remove a folder group when another object on the panel was moved into the group of objects.

Manager

  • Licensing Tab Error: Resolved a data service crash issue that could result in an empty error when clicking the Collect Stats button.

Other

  • Changes to Text Index Process Made changes to a text index procedure to resolve issues with excessive transaction log data that could occur during heavy editing in a large database.

New Features

End User Interface

Review documents more efficiently with these many Document View features and enhancements:

  • Easy Identification and Review of Email Threads: Alongside changes to the Documents list comes changes to the display of items in the Email Threads panel: you can now more easily identify email threads, attachments, and duplicate threads.
  • Email View: The custom Email View template provides a visual snapshot of core email fields (such as To, From, and Sent Date fields) in the Document list, allowing faster review of key emails.
  • Enhanced Custom Text Annotation Functionality: You can now create up to 64 custom text annotations to handle many annotation/redaction requirements (the limit was previously 8).
  • Customize Related Panel Lists: On the Related tab, you now have more flexibility view the fields that you want. For example, add relevant virtual fields (such as Principle or Similarity), and save it to the Near Duplicate panel to always view those fields alongside the records in the near duplicate list.
  • Control your Document List in Document View: Once documents are opened in Document View, you can now set the number of documents you see in the Documents tab - anywhere from 50 to 1000.
  • Quick Visual Indication of Annotations & Redactions: Image and Annotation Mode tabs display a theme-colored line to indicate that the document is marked up, to easily identify if a document has been annotated or redacted.

General New Features

  • Search Syntax to Find Record Numbers: New search syntax allows you to search for specific record numbers in the document collection.
  • Internet Explorer 8 No Longer Supported: Enhancements and technology changes to Document View mean that Internet Explorer is no longer supported. For optimal viewing (and if printing is not required), we recommend using Chrome to access XERA.
  • Support for Oracle 12c: If you use an Oracle database for XERA, Oracle 12c is now supported for use with Windows Server 2012 r2.

Administration

  • Set a Default Email View: For email databases, you can now identify fields that contain email data to set up the Email View document list in Document View for easy email review.
  • Fully Expand Manager Tiles: Manager tiles, such as Production Manager and Batch Manager, can be fully expanded so that you can easily review full list details.

New Options

  • Threads for Indexing Email Threads: This new system setting option allows you to increase the number of threads used to process a single analytic email thread index if there are issues with email thread indexing.
  • Changes to Text Index Process: Made changes to a text index procedure to resolve issues with excessive transaction log data that could occur during heavy editing in a large database.
  • Restrict Native File Availability: two new options allow you set how native files are viewed. The Do not display these as native file types (download only) option allows you to set larger or troublesome file types for download only, while the second Do not annotate these native file types option allows you to set the types of native files that will not be available for annotations/redactions.

  • Choose Thumbnail Size: You can now choose the size of thumbnails you want to view in Table View, giving you the ability to preview more documents on one page.
  • Hide Empty Fields Selection Remembered: If you choose to hide empty fields in the Text tab, this setting is now remembered for the next time you open the database, making it easier to resume metadata review.
  • Sorted Lists Retained in Document View: Your sorted view in Table View is now retained when you go to Document View.
  • Similar Concepts Retrieval Improvement: Changes have been made to the Similar Concepts panel to give users the ability to limit and control the number of similar documents that could be returned.
  • Auto-Selection of Document View tabs: The tab you last selected in Document View is remembered for the next time you use the database, assisting in a smoother transition between documents during review. With this implementation, pins have been removed from the tabs in Document View.

End User Interface

  • Dimension Settings Removed: Dimension Settings can no longer be set for Conceptual Indexes.
  • Manager Task Logs Moved: Logs for many Manager tasks, such as match/mask, imports, structure changes, database security, and more, have moved to the Data Management log in Administration.
  • iVIEW Index Change: You can now only create one iVIEW index for a database.
  • Jobs Tile List Includes Database Name: A Database column has been added to the Jobs tile so that you can quickly review the databases for which a job has been run.

Modified or Removed Options

  • Enable Viewer Tab Removed: The Viewer tab is no longer displayed in Document View. You can now choose to limit the types of files that are displayed in native format by using the new Do not display these native file types (download only) option.
  • The Pin Text View Tab option has been removed, since the current active tab is remembered for the next time you open the database.
  • The Set Default Action Tab has been removed. Now, the tab that the user selects is remembered for the next time they open the database.
  • Annotations and Redaction options have moved to their own category, and the Image Print option has moved to the new Images & Native Files category.

  • Display of Deleted Records in History Tab: Resolved an issue where deleted records would still display in the History tab after all records were deleted.
  • Website Tile Display Issues: Upgraded the version of PhantomJS, which resolves issues with displaying some website tiles on the Dashboard.
  • Slowness when Exporting or Producing Delimited Data: Resolved slowness that could occur when exporting or producing delimited data through Production Manager or Mass Export.
  • Batch Creation Issue: Resolved a status folder issue that could result in an error when attempting to open or view the batch.
  • Search Score Order Inconsistency: Resolved an issue where the same search performed twice would not retain the same Score sort order.
  • Last Document Navigation Issue: Resolved a 'next' document navigation issue when on the last document that could navigate you to the first document in the collection.
  • Unable to Rename a Search (Custom Search only): Resolved an issue that could result in the inability to rename a saved search in the Custom Search form.
  • ActiveX Error while Viewing Native Files in IE11: The new method of viewing native files in Document View resolves a script error that could occur while using the ActiveX version of the File Viewer.
  • Production Issue with Multi-Page TIFF or GIF Files: Resolved an issue that could result in the inability to produce native TIFF and GIF files with custom numbering.
  • Errors when Pasting Excel Data in a Quick Search: Resolved an issue with pasting Excel data into the Quick Search box that could cause errors.
  • Mass Coding Requirement Not Enforced: Resolved an issue where a coding requirement on a subfolder was not enforced in Mass Coding.
  • iVIEW Synchronization and Graph Display Issue: Resolved an iVIEW index sync issue that could result in incorrect iVIEW graph display after indexing appeared to be complete.
  • Calendar Display Issue: Resolved an issue where the Date Picker/Calendar would remain open after a date was selected after editing in Text View.
  • Field Template - Display Issue in Fields with Long Names: Resolved an issue where field names longer than 40 characters would display as empty in the Fields list when customizing the view.
  • Inability to Open a Database: Resolved an issue with an unrecognized folder group that could result in the inability to open a database.
  • Issue with Manually Entering Date Information: Resolved an issue where manually entering a date into a date field might not be saved.
  • Issue with Modifying or Selecting Annotations (Chrome only): An update to the plugin used for annotations and redactions resolves an issue that could result in the inability to modify or select annotations while using Chrome.
  • Script Error on the Dashboard: Resolved a script error related to YouTube videos/a Video tile that could display when the Dashboard opened.
  • Issue with Modifying or Selecting Annotations (Chrome only): An update to the plugin used for annotations and redactions resolves an issue that could result in the inability to modify or select annotations while using Chrome.
  • Annotation Information Shown on All Slip Sheets: Resolved an issue where the virtual field (Annotation Information) would display all selected annotation options on slipsheets, even if the document did not contain annotations.
  • Slow Navigation with Search and Comments: Resolved an issue with attempting to highlight comments that could result in slow navigation after running a multi-term search that included wildcard characters.

Administration

  • Error in Logs with SQL Server Compact: Resolved an error message that could display after filtering the log if there were no log results to display (SQL Server Compact clients only).
  • Error Message when Opening Database Administration: Resolved an error message that could display after creating a Predictive Review project and then opening Database Administration.
  • Issues when Deleting a Folder from a Folder Group: Resolved an issue with deleting a folder from a group that could result in group dissolution, and documents from the deleted folder moving to what was the default folder for the group.
  • Issues with Indexing Large Email Threads: When excessively large email threads are encountered while indexing, these threads are now skipped and logged to the Logs tile. This has been implemented to assist with indexing email data with these threads that could cause indexing to fail.
  • Panel Template Issue: Resolved an issue that could occur upon using a template if the panel template contained text objects.
  • Reindexing Issue in Analytic Indexes for Large Databases: Resolved an issue where reindexing would stop in very large databases after the Staging index was complete - sometimes if records were excluded from the index. Now, when the staging index is updated, all other indexes are automatically reindexed.
  • iVIEW Index Error: Resolved an 'invalid argument' error that could occur in a large database after indexing half of the records in the database.
  • Editing a Coding Rule Issue: Resolved an issue with saving coding rule changes.

Manager

  • Error Message When Creating a Database with the Same Name: The error message that displays when creating a database with an already-used name has been changed so that this error is clear.

Other

  • Table Remains After Deleting a Database: Resolved an issue where the Folder Log Backup table would not be deleted with the database.

Known Issue

End User Interface

  • Hit Highlighting for Proximity Searches (Oracle 12c only): Proximity search highlighting in Text View does not consistently highlight the search hits as expected. A bug has been submitted to Oracle.

  • Static Views for Large Databases: For large databases with document groups, you can now choose to create static custom views that will only be updated when you rebuild the view.

  • Quick Removal of Expired Announcements: You can now delete all expired announcements - the option to delete them is found in the Messages and Notifications tile.

  • User Entry Options for Lookup Lists: You can now set up data entry that will not be retained in the pick list when the user goes to another document.

  • Inability to View a Predictive Review iVIEW Graph: Resolved an issue that could result in the inability to view a Predictive Review iVIEW graph, even if the Enable Predictive Review Statistics option was enabled.
  • Mobile View Display on a Desktop Browser: Resolved an issue where the mobile view of XERA could display if the browser was not sized to fit the entire screen.
  • Error Message upon Opening a Tile from a Shortcut: Resolved an issue that could cause an access message to display after selecting a shortcut from the Administration menu.

  • Data Import Worker Issue: Resolved an infinite loop issue that resulted in the inability to use the Data Import Worker to import Nuix data.
  • Data Service (Oracle): Resolved a lock issue that could prevent database use when security settings were changed in a large database with many users.

  • Slow Search and Sort Performance (Oracle): Improved slow search and sort performance that could occur in a large Oracle database with document groups.
  • Left Navigation Arrow Display in Chrome v52: Resolved an issue when accessing XERA using Chrome v52 that could result in the left navigation arrow not displaying in the interface.
  • Database Slow to Open in a Custom View: Improved the slow performance that could occur when attempting to open a large database with a Custom View.

  • Issues with Large Quantity of Repeated Content: When finding repeated content, all content is now automatically selected. Additionally, you can now review multiple pages of content. These changes have been implemented to assist with large projects that contain an exceptional amount of repeated content.

  • Issue in Converting Files with HTML5 version of the Viewer: Resolved a user permission issue in converting native files that could result in an Operation Service failure.

  • Database Templates: System administrators and Client administrators can now create a database template and apply existing database structure and associations to a new database. Associations such as panels, folders, coding requirements and rules, and more are retained.
    • One Click to Database Creation: You can quickly access database creation through a shortcut that has been added to the Administration cog icon. Additional shortcuts have been added for other key tiles and tasks, for faster access to core project work.

  • Manage Memory Consumption for Native File Conversion: In the Cache Control tab, you can now set a limit for memory consumption for native-to-image conversion processes.

  • Batch Prefix Expansion: You can now add up to 50 characters to a batch prefix, enabling you to provide better identification for different batches.
  • Coding Requirements when Switching Tabs: If coding requirements are applied in a database, you are no longer prompted to complete them if you choose to switch to the Comments, History, or Related tab.

Administration

  • Assign Security for Multiple Coding Rules at Once: You can now select multiple coding rules to quickly activate them for your client, project, or users.
  • Users Tile, Refresh Button Change: The Refresh button now displays when you hover over the number - in the bottom right of the tile.
  • Lock File Control Tile Removed: The File Locks tile has been removed, and this functionality can now be found in the Users tile.

  • Failed to Open Database Error: Resolved an access error when attempting to open the Full Database in the My Projects tile after a user was assigned to a Custom View only.
  • Am Law Report Removal Issue: Resolved an issue where the default Am Law reports could not be removed from the Reports list in Report Manager.

  • iVIEW Indexing in Large Databases: Optimized indexing processes to resolve exceptionally slow indexing that could result in the inability to index a large database with many folders.
  • Metrics Index Syncing Issue: Changed syncing processes to resolve the inability to sync a metrics index in very large, heavy review databases.

Other

  • Email Notifications Sent in Batches: Email notifications sent externally are now sent in batches of 100. This resolves an issue with hosted email servers that may limit the number of recipients for an email.
  • SQL Connection Issue: Resolved an infrequent SQL server connection issue that could cause issues with retrieving data.

6.7 (updated June 23, 2016)

New Features

  • Flip Between Desktop and Mobile Mode: When accessing the XERA website on a smartphone, you can now select the type of view you want to access - you can choose to view XERA as in a mobile view, or in standard desktop view.
    • Quick Mobile Access: Like any other website, you can add the XERA icon to your device’s home screen so that you can easily access the site.
  • Table View Available when Using an iPad: When accessing XERA on an iPad, you can now view and use Table View to review documents in grid format, add documents to folders, search the entire document collection, and more.
  • Visual Review of Online Project Members: Project Members who are online (logged in) now have a green icon beside their name in the Project Members tile, which allows for better collaboration between team members.

  • Setup for Dashboard-only Users: When you create a new user, you can now set up users to have Dashboard-only access.

New Options

  • The new Enable Predictive Review Statistics option allows you to grant access to see and review Predictive Review graphs in iVIEW (for users who do not require Predictive Review Manager access.)

    • Coding Requirements: As a user, you may now be prompted to complete coding on the current document before you proceed to the next document: you will receive a prompt and a yellow bar to indicate where coding is required.
    • Pin a Coding Panel: Review with confidence - pin frequently used coding panels so that they display at the top of the Coding tab. This setting is remembered for the next time you open that database.

    Administration

    • Coding Requirements: Coding Requirements can now be set up for panels, folders or folder groups, enabling greater control over coding requirements before a reviewer can navigate to the next document.
    • Comprehensive Options and Security Reports: A new Options & Security report allows you to choose any or all options and security settings for one or more databases so that you can easily review those settings.
    • Specify Numbering for Nuix Data: You can now set a numbering scheme (prefix and starting number) to assign to data imported from Nuix.
    • Assign Additional Processes for Nuix Imports: You can now assign additional processes to assist Nuix Data Import workers and improve import time.

    New Options

    • Ignore Coding Requirements: If you have set up coding requirements in a database, you can choose to disable navigation restrictions.

    • Immediate Visibility to Number of Users in the System: The face of the Users tile now includes the number of users who are currently logged into the system, making it easier to quickly determine periods of higher use.
    • Log Enhancement for Mass Action Export: The log for a Mass Action export now includes information about when a packaged export file is downloaded.

    • Administrators can Delete Saved Searches: Administrators (full and client) can now delete public saved searches.
    • Quick Creation of Messages/Tasks: You can now quickly create a message or task for a project member by selecting their name on the Project Members tile.

    New Features

    End User Interface

    • Filtering and Sorting in Table View: You can refine searches by applying Filters to fields in Table View, and find relevant information by sorting up to 3 fields. Filters and Sorts are listed on the Search pane for reference and editing.
    • Perform global actions - Edit, Find/Replace, and Print some or all data in Table View using the Mass Actions button. This new functionality comes with administration options (found in Administration > Options): Allow Mass Edit, Allow Mass Replace, and Allow Mass Print.
    • Word Marking highlights in Text View: When you create or use a word marking list, the highlighted words will also display in Text View.
    • Show Hidden Data in some native files: View hidden information in Excel and Outlook files using the Show Hidden Data button in the Viewer tab.
    • Text View tab: The Show/Hide Empty fields button enables you to hide empty fields in Text View.
    • Contextual Help for each view: Each view in XERA now has help specific to the items in the view. You can hover over the ? icon in each view to review each help topic.
    • Comments for Annotations/Redactions: You can now link a comment to an annotation or redaction that has been placed on a document in the Image tab.
    • Send a Task to Outlook: For received tasks or tasks that you create for others, you can choose to send the task to your Outlook Calendar.
    • Custom Branding for specific projects/users: You can custom-brand your XERA system to meet your project needs: create a theme that uses pre-defined colors and a custom logo, and apply that theme to specific users.
    • Custom Annotations: You can now create up to 8 custom text annotations to use for annotations and redactions.

    Web Administration

    • Create panels and folders in Panel Manager: The Panel Manager administrative tile in Administration enables you to create panels and panel structure (folders and other objects). These panels can be displayed in Table View and Document View. Note: This replaces the Folders and Folders Security tabs in XERA Manager.
    • Custom Views: Create customized views for a project, enabling certain project members to view only key folders or documents in the database. Custom Views are created through Web Administration > Database > Custom Views. Note: If you have used Database Viewing Filters in the past, Custom Views replaces this functionality.
    • User Agreement can be re-enabled: You can now re-enable the User Agreement after the first log in to assist in user account verification.
    • New Options

    • Restrict Access to Full Database. When used with an enabled Custom View, this option allows you to prevent access to the full database; users are restricted to the view that has been enabled for them.

    XERA Manager

    • User entry options in Lookup Lists: You can now create Lookup Lists that allow users to enter their own information, or allow entry of alphabetic or numeric characters only.

    • Sender's full name in Comments, Messages, and Tasks: When sending a comment, message, or task by e-mail, the sender's full name is now displayed, and users can send a reply directly to the sender's e-mail.
    • Language: Select Fran?ais as the language of your choice for viewing and using the interface: all XERA elements will be shown in French.
    • Batch size flexibility: When creating a batch based on quantity, you can specify a batch size of less than 100.
    • Enhanced document navigation: Navigation boxes have been added to Table View and Document View, enabling you to go directly to a specific document in the collection.

    • System Overview tab: TIFF conversions now generate a pending operation to resolve an issue where TIFF conversion could result in a database locked by 'None'.
    • Full Native File path displayed: Resolved an issue where users could see the full native file path in the end user interface. This has been resolved by the ability to set field-level security to hide the full native file path.
    • Image order issue in Imagelinks tab: Resolved an image order issue that could only occur when an imagelink table containing multiple Bates prefixes was exported and then re-imported into the database as a new imagelink table.

    • Resolved an operation service failure that could occur when a logged in user attempted multiple log ins.

    • Add a description to a folder: You can now add a description when you create or edit a folder. This description will display when you hover over the folder name.
    • Edit searches: Edit saved searches and searches stored for your current session.
    • Hide annotations: You can now temporarily hide annotations and redactions using the Hide Annotations button on the Image tab toolbar.

    • Export log files: You can now export logs to a csv file.
    • Allow Folder Edit option: This new option allows administrators to grant Edit Folder access on the Folders tab.

    • Annotation Lock Message enhancement: The annotation lock message now displays the name of the user who has the image open.
